- So. Benton Community Advisory Group (SBAG) for M. Hull bequest
Roger related that the group has been discussing who would be the fiscal agent for the bequest, and the group has decided to have United Way continue in that role, with funds disbursed through the existing United Way grant process.
The school superintendent is enthusiastic to revive the community newsletter, but is hampered by staffing to produce the newsletter. The SBAG would be willing to fund it from these bequest funds.

- Preschool Report
Charlene reported that two new kids have been enrolled in the littles class (so that there are now 12 littles and 12 bigs). Charlene is preparing marketing materials for next year, with room for up to 16 in each group.
We discussed Charlene’s latitude for making changes to the preschool fees and policies, particularly in relationship toward matching incentives to intended participation levels for families in the Tuition Assistance Program. The board encouraged her to be bold, and assume that we will support reasonable changes, presented as a package.
Charlene is preparing a brochure to promote the preschool for the 2015-16 year, and has contacted a resource to get it translated into Spanish.
Preparation for the Scamper event on May 2nd is going well, with no unmet needs at this time.
Charlene has coordinated gym reservations for the summer Kindersports program with Monroe Grade School for Mondays through Thursdays in three sessions: 6/15-25, 7/20-30, 8/10-20.
- Community Cleanup Day
The event went well. Our fears of abuse of the dumpster opportunity were not realized. No children offered entries to the recycle/reuse art contest. If we do this again we should reach out to the elementary teachers.
- Building Repurposing Architectural Plan
Roger reported that Lori Stephens of Broadleaf Architecture is working on the next phase materials. No specific target date for delivery has been discussed.
- SRF grant for early literacy
No specific action items for ACC have emerged from the group working on this grant.
We discussed the possibility of sending Charlene to summer Spanish classes.
- Coordination with School District
Rachelle has talked with representatives of Dragon Pride to keep them aware of Kindersports. At next opportunity, we asked Rachelle to have them promote preschool application season.
- Building Task Force
Dorothy has called several window places, but none have returned her calls to schedule an estimate for the west end window repair/replacement.
Phase 2 Main Hall lighting improvements. Dorothy called Brighter Homes Lighting, and they don’t send people to site, instead generally working from plans generated by interior designers.
- 2012 Trust Mgmt Grant Implementation
Dorothy & John lead a discussion of the design for the Informational kiosk. John showed pictures of the kiosk at Republic Service recycling center in Corvallis.
- Election of officers
Dena moved that we re-elect Joyce as President, Dorothy as Treasurer, & John as Secretary, Rachelle seconded, slate passed.
- Pothole repair on Webster Avenue
Dorothy related that the mail carrier has asked us to repair the potholes, which are worst in the part of Webster Avenue in front of the center. Dorothy will ask Jim Stouter at the County Roads department for an estimate of whether, when, and for how much they could grade the road. Roger will ask Scott Bailey if he is willing to do the job at a reasonable price.
- Budget committee for 2015-16
Charlene is willing to participate, Rachelle is willing to participate. This month John will prepare the seed spreadsheets with last year’s budget and the totals to date.

Bingo needs another volunteer for this Sunday.
The resale the shop has a couple new volunteers.

Charlene reported that the new printer is working with the ACC computer.
Rachelle donated a Dell laptop that needs to be wiped and re-set up.
Dorothy installed the new paper towel dispensers in the bathrooms, which is benefitting the preschool kids.
A person unrelated to the preschool entered the building during school hours last week. In response, Charlene has started to lock the building exterior doors during school hours.
Joyce will set up Charlene as an administrator for the ACC Facebook page (as well as the Preschool Facebook page, where she is already an administrator).
Charlene asked that the board stress again to other groups that use the building and let kids play in the preschool rooms that they are responsible for tidying up the rooms when they are done.
Plans are moving forward for the Scamper on Saturday, May 2nd.
Charlene is working on additional expectations to clarify to next year’s parents (in the handbook and an agreement form) about their focus during co-op hours.
- Community Cleanup Day (March 21st)
Evelyn discussed with the board final arrangements and assignments for the day. Joyce, Rachelle, and John will assist in various capacities. Joyce will lead the volunteer appreciation presentation at noon.
- Building Repurposing Architectural Plan
The board reviewed our discussions from last month about what instructions to give Lori Stephens next. Dorothy moved that we instruct Lori to go forward with a design that makes the west side extension two stories tall, with the upper story covering about 2/3rd to 3/4s of the north-south width of the first floor. Dena second. Approved.
Dorothy moved that we approve an expense of $500 for Broadleaf Architecture to develop the next round of more detailed plans, along with a ballpark cost estimate for fundraising purposes. Dena seconded. Approved.

- Coordination with School District
Charlene and Joyce have met with the Monroe Kindergarten teacher to coordinate about what expectations they have for children incoming to the kindergarten. The expectations are fairly low, and children coming from our preschool are much more ready to learn than the baseline.
- Building Task Force
Board reviewed the previous discussions for the Phase 2 Main Hall lighting improvements. We discussed the possibility of placing light cans on the east side of the horizontal beams, to conceal them from viewpoints facing east. Dena suggested that we ask a professional lighting designer to pitch a thoughtful, informed holistic design for us.
Action Item (Dorothy): Ask lighting shop to tour and craft a design for the main hall.

The ACC board had a joint discussion with the (overlapping) SBCE board on which group would be the best fiscal agent for administering funds across the 14 year expected lifetime of this bequest. The groups agreed that this role would more naturally fall into the historic operating mode of SBCE than ACC.

Joyce would like to do some re-development on the home page of the ACC web site to add content that invites people to explore more into the rest of the site content. The board encouraged her to do so.

Volunteers Welcome!
As part of the Recycling Center Celebration, a Roadside Cleanup will take place from
9 to 11am on Saturday March 11. Volunteers will be picking up litter along on Alpine Road and Bellfountain Road in and near Alpine.
Volunteers will use the Benton County equipment and signs. Please drive carefully and watch out for cleanup volunteers.

- Preschool Report
Charlene reported that she has plans to use the ACC laptop for preschool activities, but it needs AntiVirus software to be safe for open use.
Action Item (John): Set up alpinecommunity.net email address for preschool.
Action Item (Joyce): Get printer cartridge and cable for printer; get AntiVirus subscription.
Lately the furnace has been running more, and keeping the building hotter longer than it needs to be, either because of running on the scheduler instead of on demand or through other furnace-related issues.
Now that we have begun to purchase Kindersports equipment, we need space to store it.
The preschool would welcome the donation of one or two laptop computer for kid games. (Rachelle may have one to donate.)
There have been problems lately on clear days with many honey bees around the playground, possibly swarming. Charlene will talk to Karen and Tad from Queen Bee.
- SRF grant for early literacy
Joyce reported that she is still establishing the relationship with the School staff. Dena will supply some statistics about 2014 Read On Wheels to Paul Smith to inform the reporting for this grant.
- Building Task Force
Our perception is that the furnace has been running too much, and keeping the building too hot. It may also be running too frequently for too short periods.
John moved that we authorize expense up to $300 for replacing the thermostat; Dorothy seconded; Approved.
John reported that the doorway between the classrooms has been completed. Charlene reported that this has made a significant improvement to the usage of the rooms.
Phase 2 Main Hall lighting improvements. The Alpine Artists group is keen to explore lighting options to expand gallery usage. Evelyn Lee and John Norrena replaced the halogen bulbs in the two east fixtures with dimmable LED bulbs, slightly increasing the illumination of that part of the hall. They requested budgetary approval for making similar changes to the other four fixtures. The board discussed it and declined to authorize further expense at this time. They will ask Evelyn and the artist team to elaborate plan alternatives for board deliberation.
- 2012 Trust Mgmt Grant Implementation
Informational kiosk design priorities: tabled.
The board discussed plans for a Community Cleanup Day currently scheduled for March 21st. Rachelle suggested getting a Schnitzer steel dumpster in addition to the trash dumpster. Board is concerned about what will happen when the trash dumpster fills. (A similar event several years ago filled several dumpsters.)
- Christmas Tree Lot lessons learned
Rachelle & Dorothy reported on the Tree Lot. The lot was a successful fundraiser. Next year, we need to start organizing before November. Getting the trees there came together closer to start than optimal. We need better signage about which groups benefit from the proceeds and how the self-service hours work. It would have been nicer to have something to sell that is directly related to the preschool.
- Quilt Raffle
Drawing will be on Presidents Day, 2/16/15. Dorothy passed out tickets and showed a mock up of a flyer. Tickets are $2 each, or 6 for $10 and will be for sale at the Resale Shop. (Dorothy will also check with Dari Mart.) There will be a maximum of only 500 tickets sold. The quilt will be on display at Umpqua Bank.
- Facebook page management
Dorothy led a discussion. There has been some confusion lately with people asking to “friend” the ACC Facebook page (an interaction type that should not be possible with our organizational page). John and Joyce suspect that there is a second FB page that says it is for Alpine Community Center, possibly one auto-generated by FB, though it is confusing how it sent confirmation emails to our admin email address. Joyce has been tending the main ACC FB page, Charlene has been tending the ACC Preschool FB page, and Tibbi S. has been tending the Resale Shop FB page.
- Outreach Committee Report
The committee is on hiatus until there is a budget for the repurposing phase.
- New Business
During one of the rentals over the holiday season, a window was broken. We will have it repaired, and invite the family that rented the hall to contribute toward the repair.
Rachelle would like an announcement about the Dragon Pride drift boat raffle to go out on the email list.

Three Contest Categories
Reduce Reuse Recycle:
in original art or craft,
in an outdoor/yard/farm project,
or in an indoor technology/household project.
You can submit as many entries as you want as long as they each meet the criteria! This is just for fun, so share your reduce reuse recycle ideas! Show us your creativity! Teach us how!
Criteria for judging:
Homemade/handmade
Originality/Creativity
Demonstrate measurable resource conservation
Our panel of Celebrity Judges will go to work at 11:00 and name the winners at noon.
Prizes will be awarded in each category for three age groups:
kids up through 5th grade
6th grade t 12th grade
Adults
How to enter:
On Saturday, March 21 at 10:00am, bring your entry to ACC (be sure to label it as described below).
If your project cannot be moved to the community center, bring a photo with an explanation.
Your entries will remain on display at ACC all day. With your permission, we may post them on the ACC website or Facebook page!
You can pick up your entry at 4:00 that day or make other arrangements.
Each entry must include:

Project Category (original art or craft, outdoor/yard/farm project, or indoor technology/household project)

This beautiful quilt is on display at UMPQUA BANK in Monroe. It was crafted and donated to ACC by the Memory Makers Quilt Guild and we are selling raffle tickets for $2 each or six for $10.
